We process your personal data on the basis of legitimate interests (providing the service you have requested) and, where you create an account, on the basis of the contract between us (our Terms of Service). For analytics, we rely on legitimate interests in understanding how our service is used.
Ungated tools (Calculator, Timer): No personal data is collected. No cookies, no tracking, no accounts required. We do not know who uses these tools.
Gated tools (Brief Generator, Decision Record, Meeting Threads): We collect your work email address when you sign in via magic link. We store usage counts (how many briefs and decisions you have generated this month) and, for Starter and Pro users, the content of your briefs and decision records for the saved history feature.
Meeting Threads: When you create a Meeting Thread, we store the thread name you provide and any briefs or decisions you link to it. Thread names and linked content may contain sensitive business information (such as meeting topics, attendee names, or project references). This data is stored in your account and is only accessible to you. Thread data follows the same 12-month retention policy as saved history.
Billing: Payments are processed by Stripe. We do not store credit card details. Stripe\'s privacy policy applies to payment data.
We use magic link authentication only. No passwords are stored or transmitted. Authentication is handled by Supabase Auth. A magic link is sent to your email; clicking it signs you in.
When you use the AI Brief Generator, the text you enter (meeting objective, attendees, context) is sent to Anthropic\'s Claude API to generate your brief. This content is processed in real time and is not stored by Anthropic beyond the API request. We do not use your input content to train any AI models. AI-generated briefs are provided as a starting point; you are responsible for reviewing and editing them before use.
For Starter and Pro users, generated briefs and decision records are stored in our database for the saved history and Meeting Threads features. This data is retained for 12 months from creation, after which it is automatically purged.
Usage counts reset on the 1st of each calendar month. Saved history and Meeting Thread entries are retained for 12 months and then automatically deleted. Account data (email, tier, usage counts) is retained until you delete your account.
We use Google Analytics 4 to understand aggregate site usage (page views, tool usage). GA4 uses first-party cookies. No personal data is shared with Google for advertising purposes.
We use cookies and similar technologies to make the site work, remember your choices and, with your consent, understand how the site is used. For a full list of the cookies we use, their providers and how long they last, see our Cookie Policy.
You can change or withdraw your cookie choices at any time: Change cookie preferences.
Every time you make a cookie choice on our site, we record it (which categories you accepted or rejected, and when) to maintain an audit trail of consent.
We contact people in a professional capacity at UK businesses, limited liability partnerships and other corporate organisations to tell them about EffMeetings. We do this by email, using business contact details.
The information we use. Name, job title, business email address, employer name and publicly available information about the organisation. We obtain this from publicly accessible sources and from business contact data providers. We do not use personal email addresses for this purpose, and we do not contact sole traders or individuals in a personal capacity without their consent.
Our lawful basis. We rely on legitimate interests under Article 6(1)(f) of the UK GDPR. Our legitimate interest is in promoting our business to organisations that are likely to benefit from what we offer. We have assessed this against your interests and rights and concluded that the impact is limited: the contact is made to you in your professional role, it relates directly to your work, it is low in volume, and you can stop it at any time.
Your right to object. You can object to receiving these messages at any time and we will stop. Every message we send includes a one-click unsubscribe link. You can also email us at privacypolicy@effmeetings.com and we will remove your details. Once you object we will keep a minimal record of your email address for the sole purpose of making sure we do not contact you again.
How long we keep it. If you do not respond, we delete your contact details within 12 months of the last message we send you.
If you create an account or subscribe, we will send you messages relating to your account and the service. These are necessary to provide what you have asked for and are not marketing. We will only send you marketing about other products or features if you have agreed to receive it, and you can withdraw that agreement at any time.
We do not sell your personal information. We share it only with the service providers we use to run EffMeetings:

Each provider acts on our instructions under a written agreement and may only use your information to provide their service to us.
Some of our providers are based outside the UK. Where we transfer personal data internationally, we make sure it is protected by safeguards recognised under UK data protection law. You can ask us for details of the safeguards that apply by emailing us.
We take reasonable technical and organisational measures to protect your data, including encryption in transit (HTTPS), row-level security on all database tables, and server-side authentication on all API endpoints that access user data. However, no system is completely secure. We cannot guarantee the absolute security of your data.
You have the right to access, correct, or delete your personal data. You can delete your account at any time from the Account page, which removes all your data including threads, history, and usage records. For data access or portability requests, contact hello@effmeetings.com. We will respond to all data requests within 30 days.
We may update this policy from time to time. Material changes will be communicated via email to registered users.
